Administrative Assistant (30 hours per week)

Job Description: The Administrative Assistant is responsible for providing administrative support to all Mosaics staff and ensuring efficient operation of the office. 

Schedule: 9 am – 4 pm with one hour for lunch, Monday – Friday

Job Responsibilities: 

  • Carry out administrative duties such as filing, data entry, copying, mailing, etc. 
  • Assist staff with issues with Google documents and general technology issues
  • Train new staff on use of Google docs and other administrative skills
  • Use Canva and PowerPoint to create social media posts and assist staff in preparation of presentations 
  • Inventory, maintain, and order office supplies and merchandise 
  • Schedule, coordinate, and edit podcast interviews
  • Provide general support to visitors
  • Flexibility in handling multiple projects at once
  • Create Mosaic’s quarterly newsletter
  • Attend meetings and take notes as needed for other staff members
  • Be the contact point for scheduling volunteers and tracking their hours
  • Assist with donor tracking and correspondence 
  • Reliable physical presence in the Mosaics office
  • Attend events as needed 
  • Contact point for general email and phone questions received

Key Characteristics:

  • Organized and ability to muli-task
  • Detailed oriented 
  • Proficient in use of Canva and Powerpoint
  • Experience with social media 
  • Professional written and verbal communication skills
  • Strong time management skills
  • Proficient in  use of Google Docs, Drive
  • Ability to develop and maintain spreadsheets

Family Navigator (Part-Time)

Job Description:  The Family Navigator assists individuals and families in finding the appropriate mental health providers, treatment facilities, and supportive services needed for mental health and addiction recovery. Our navigators provide compassionate listening, information, and education, not direct care. 

Job Responsibilities: 

  • Put together individualized plans of available mental health resources and pertinent educational information for our clients
  • Follow up with clients to confirm they have connected to a resource
  • Provide documentation on client connections as outlined in the policies and procedures
  • Develop a thorough understanding of the available resources for our community
  • Build strong working relationships with the community resource providers
  • Find creative solutions to client barriers to care
  • Provide education on treatment, care options, and expectations for the specific situation
  • Listen to our Hope Pieced Together Podcast so appropriate episodes can be shared with clients
  • Build awareness in the community about the resource that Mosaics of Mercy provides
  • Identify gaps in mental health and addiction resources 
  • Attend events as needed to represent Mosaics
